Functionality
Once a flight handled by the company lands, the schedule details are retrieved from the system, the details of the services provided are chosen and the actual quantities provided are entered into the system. Details captured include the actual time of arrival, flight number, aircraft type, number of passengers on board, cargo and mail kilograms.
Once the services are complete, the required billing is automatically generated by the system. By default, the charge of all mandatory services is automatically billed. Any ad hoc services provided will be selected by the user and these will be added to the bill based on contracted rates. Should the carrier not have a contract, or particular services are not covered by the contract, then the rates specified in a blanket contract would apply.
Once the flight is closed, a handling charge note showing all services rendered is produced from the system for confirmation and signoff by the Captain. All the necessary accounting is also generated and posted to the accounting system through an interface. In the case of cash customers, an invoice is raised for immediate payment. In the case of a customer covered by a contract, the revenue is immediately accounted for and captured in the General Ledger. At a later stage, based on contractual terms, the required invoices are produced and IATA customers are billed through IATA Clearing at the end of the month.
