The Incoming Travel Quotation System was developed to enable back office staff at to record traveller details and produce quotations for stays in contracted accommodations. Examples of such accommodation are hotels, apartments, villas, farm houses or any other accommodation type defined within the system. Once a customer confirms a quotation, details are transferred to the current reservation system in use at Euro Resort Investments.
The Incoming Travel Quotation System is hosted on a server, is browser based and comprises of the following:
- A number of maintenance forms through which accommodation information, accommodation contracts, client details, exchanges rates and mark-up values shall be recorded and amended.
- A secure login that will ensure only authorised users can access the system at any point in time. The system will comprise of an administrative module that will allow the administrator create new users and assign the necessary privileges.
- A search mechanism that will allow the user to search through available accommodation records using predefined search criteria.
- Generate a quotation taking into consideration the client’s request in terms of board type, room type, board special supplements as well as any accommodation special offers using rates as defined in the specific accommodation contracts. Furthermore the system will allow user to define mark-up values and additional fees, such as transport fees which can also be included in the quotation. The quotation may be calculated in the client’s preferred currency using exchange rates defined in the system.
- Will cater for interlinked contracts which will calculate a quotation using different contracts for a specific accommodation.
The system also allows the user to send the quotation to the client by email. Once the quotation is confirmed, it can be transferred to Booking and Reservations System to allow for the booking to be processed.
